The Administrative Assistant III is responsible for providing administrative support for the Executive Director of Office of Institutional Advancement and Community Relations.
The Administrative Assistant III is also responsible for payroll, accounting, travel, various reports, data collection, and planning unit activities.
This position will play a vital role in the lives of our staff and consumers.
As a member of Office Institutional Advancement, this candidate must display a positive, approachable, and professional demeanor and serves in the day-to-day communication of OIA various activities and commitments.
This candidate will be able to work independently, as well as with a team.
POSITION REQUIREMENTS:
Maintain calendar and itinerary for Executive Director.
Assists the Executive Director and other Office of Institutional Advancement (OIA) staff members in a variety of administrative tasks and details such as arranging itineraries, calendars, agendas, meetings or making telephone contacts and composing routine correspondence on his/her behalf.
Assists the Executive Director of Office of Institutional Advancement staff in maintaining and monitoring the unit's state budget; submits the requisition/purchase orders and appropriate paperwork in a timely manner; provides regular budgetary updates/reports, etc.
Make arrangements for meetings, events and conferences under general direction.
Works closely with other OIA staff to ensure that relationships with donors, prospective donors, and VIPs are adequately maintained and scheduled.
Compiles data and reports for submission to the Executive Director, President, Board of Trustees and the AIDB Foundation Board of Directors and other relevant committees and groups as requested or scheduled.
Serves as Secretary to the AIDB Foundation Board of Directors and to the Marianna Greene Henry (MGH) Equestrian Program Board of Directors, recording and drafting written minutes of official meetings; providing follow-up activity as appropriate.
Assists the Executive Director of OIA in monitoring and coordinating scholarship, fundraising, community relations, marketing and promotional programs/activities of the Institute.
Assists the Executive Director and OIA staff in the organization of AIDB special events.
Composes complex and/or technical material including charts, graphs, and tables from rough drafts into final form for review by supervisor.
Receives sorts according to content and distributes mail; organizes and composes correspondence with direction and review from supervisor.
Receives, screens and routes visitors and telephone calls, giving and gathering information effectively for reference to appropriate staff person.
Assumes responsibility for maintaining necessary inventory of office supplies and materials and monitors equipment and facility maintenance.
Performs other duties as assigned.
BASIC QUALIFICATIONS Must possess a high school diploma or GED with work experience in a secretarial or related field.
Must have three (3) years of successful work experience in secretarial or related field.
A minimum sign language proficiency level of Survival according to AIDB evaluation system (SLPI/SCPI); must be obtained within the first twenty-four(24) months of employment Must have knowledge and experience in office practices, procedures, equipment and word processing.
Must possess excellent organizational skills, processing large volumes of documents and be detail oriented.
Must have experience in handling extremely confidential documents and information.
Must be self-motivated and possess ability to exercise sound judgment with minimal supervision.
Must possess excellent communication skills.
Must have experience in Payroll and Accounting.
Proficient in MS Office Suite (Excel, PowerPoint, Word), Google G-Suite including Calendar, Sheets, Docs and Drive.
Upon offer of employment, the applicant must submit to a fingerprint background check at an agency designated and paid by AIDB PREFERRED QUALIFICATIONS Five (5) years of successful work experience in secretarial or related field.
One (1) year or more experience working with individuals with sensory impairments.

This is a non-exempt position, and is subject to overtime and/or compensatory time provisions of the Fair Labor Standards Act.
